• After reviewing venues across the Iberian Peninsula, Poble Espanyol was selected for its flexibility, historic character, and ability to host simultaneous stages at scale. The summit blended high-impact content with high-trust connection spaces: keynotes and panels that anchored the narrative, hackathons that brought builders together, a digital NFT art gallery, and evening hospitality that kept the community on-site after hours. Carefully paced transitions, always-on touchpoints (check-in, help desk, attendee comms), and experiential activations made the experience feel cohesive and intimate—even as guests moved across spaces, sessions, and social moments.

Ops / Invisible Precision

• Behind the scenes, Eventflare led venue sourcing, contract negotiations, supplier alignment, and production logistics to keep complexity invisible. Delivery required end-to-end coordination across AV, catering, stage readiness, branding, signage, run-of-show discipline, and guest flow management (registration, timed entry, capacity tracking). With multiple large tracks running in parallel, operational control and clear comms were essential to ensure a premium, “high-touch” feel at scale. The result was a massive, multi-day summit delivered with calm execution—and a guest experience that felt effortless from start to finish.

• Together with the client, we selected Edition Barcelona Cabaret for its top-tier service, luxurious design, and exclusive reputation. Guests moved through a cabaret-style evening of premium cocktails, champagne, and elevated bites—supported by performers and a pace that kept the room vibrant. The setting encouraged guests to stay longer, mingle naturally, and carry the conversation into the rest of ICE. The result wasn’t just a party; it was a memorable hospitality experience with real buzz, having the client extended closing times due to the overwhelming positive attendee feedback on the night itself. 

Ops / Invitation Strategy + Delivery

• Planning kicked off in November for a January delivery. We secured the venue early, finalized contracts, and coordinated a tight roster of trusted vendors and performers. RSVP management was designed for guest-list control and flexibility: a first wave of targeted email invitations linked to a private Luma registration page; then, one week before show day, the page was made public with screening questions to maintain curation while increasing reach. Nearly 600 people registered—well above the 180-person capacity—demonstrating strong pull of the event. On the night, 200 guests attended, confirming both demand and momentum.

Impact 

• Apex achieved a true brand moment: reflecting its dedication to its partners and clients. The strong turnout, high energy, and organic word-of-mouth positioned the night as one of the most talked-about exclusive parties of ICE Barcelona, setting the stage for a real legacy event.
