How Eventflare Gave Polkadot a Landmark Stage at EthCC Paris

Every July, the Ethereum community descends on Paris for EthCC, and for one week the city becomes the centre of the Web3 world. For Polkadot, the blockchain ecosystem, that week was the moment to host its own three-day event, and the brief that reached Eventflare in March was built around a simple idea: do not rent a conference room, take over a landmark.
The programme needed a lot from one building: a main stage for 200, a second stage for 100, an exhibition area, a quiet room for press and interviews, all-day catering for a crowd of 300 to 500, and a closing-night cocktail party.
Taking Over the Institut du Monde Arabe

The venue was the Institut du Monde Arabe, Jean Nouvel's celebrated building on the Seine, and Eventflare mapped the whole programme onto it:
- The auditorium as the main stage, running all three days with the house sound package
- The Salle Hypostyle, 850 square metres on level minus 2, divided with three-metre black drapes into a second stage, exhibition area, and registration
- The Salle du Haut Conseil on the 9th floor for panel sessions, press, and interviews, with its own stage and panel seating
- The rooftop terrace, freshly refurbished, paired with the Salle du Haut Conseil for the networking cocktail on the second evening, from 6 to 11 PM for around 300 guests, high above the Seine
Negotiating a live cultural institution is its own discipline. When it emerged that museum visitors would share level minus 2 during the event, Eventflare pushed back and won: the venue agreed to close the level to the public for the duration, keeping the event fully private.
Production in a Living Museum
Around the spaces, Eventflare assembled and coordinated the full delivery machine:
- AV production through supplier Dimmer, with early access negotiated so the 9th floor build could start on the set-up day
- Catering through Grand Chemin, one of the institute's accredited caterers: light breakfasts and coffee stations, standing lunches, afternoon breaks, and an evening open bar of beer, wine, and soft drinks
- Logistics for the client's merchandise and flags, shipped from Belgium and France and received at the venue's delivery zone
- Signage worked out with the venue, from poster frames in the lifts to sign stands guiding guests between floors
- A minute-by-minute master agenda listing every supplier's responsibilities across set-up and all three days, so the venue, caterer, AV team, and client all worked from one document

Conference weeks reward the brands that do something memorable, and few things are more memorable than giving your community a landmark. By matching an ambitious multi-stage programme to the Institut du Monde Arabe, and managing the venue, caterer, AV, logistics, and schedule as one system, Eventflare turned Polkadot's EthCC presence into an event with an address people remember.
