Some clients want options. This one wanted a decision. When the team behind the App Growth Summit, the invite-only event series connecting the global app industry, reached out about their Paris 2026 edition, the very first message set the tempo: "Let's be super fast and efficient." The organiser was in Paris for one week, knew exactly what the summit needed, and wanted a venue locked down before flying home on Friday.
The brief was crisp: room for 250 guests with theatre seating and a stage, a directly adjacent foyer for at least six sponsor booths plus lunch and networking, and one non-negotiable born of experience: a registration area designed as a "bottleneck," because people try to sneak into their invite-only events every single time.
One Week to Find the Room
Eventflare's team was on a call with the client within hours, presenting venues the same day, from a cutting-edge auditorium to a glass-encased yacht on the Seine and even a rooftop farm with Montmartre views, and arranging site visits within 48 hours, while the client was still in town to walk the spaces themselves.
The winner was the Pullman Paris Tour Eiffel, and one room in particular sealed it: the Trocadéro room, with its head-on views of the Eiffel Tower. The client was clear that without that room and that view, the venue was off the table, so Eventflare negotiated directly with the hotel to structure the Trocadéro into the package for the evening reception, pushing on pricing for a space that would only be used for a couple of golden hours.
Designing the Day, Down to the Coffee Cup


With the venue secured, the months that followed were an exercise in detail. Working from floor plans revised line by line with the client, Eventflare coordinated:
- A plenary room on the Orsay level with a stage, LED screen, and a "living room" stage set, sofa, armchairs, coffee table, and rug, styled with rented furniture in black and wood
- A foyer layout balancing six sponsor exhibits, catering stations, and a specialty coffee service: two carts, baristas, and 500 branded cups
- A meeting and coworking corner behind a movable partition, furnished with high-tops for delegates who needed to step out and take a call
- The famous registration bottleneck, supported by hostesses and a security guard, to keep the invite-only summit exactly that
- The practical layer nobody sees: Wi-Fi sourcing (benchmarking an external 100 Mbps line against the venue's own), AV production with the hotel's in-house team, plants arriving on the 3 June set-up evening, and a photobooth ready for the Happy Hour
The Golden Hours
On 4 June 2026, from 8 AM to 7 PM, around 250 app-industry leaders filled the Pullman for a full day of talks, sponsor networking, and meetings. And at 5:30 PM, the whole summit moved upstairs, to the Trocadéro room and the view that had won the client over on day one, for a cocktail reception facing the Eiffel Tower.
Results and Impact
App Growth Summit Paris 2026 was delivered as planned, venue, production, catering, coffee, connectivity, and crowd control coordinated end to end by one team.
The clearest measure of success is what happened next. Within weeks of the summit, the App Growth Summit team came back to Eventflare twice: first with a request to quote event management support for two to three upcoming events in Europe, and then to begin venue scouting for App Growth Summit São Paulo 2027, a partnership that has already moved to site-visit planning.
